Capital Walkers

Capital Walkers recognises that many volunteers do not claim for every expense that they incur
and is grateful for this additional generosity. Nevertheless, we wish to encourage a culture where
reimbursement of expenses is accepted and welcomed.

All our walks are led by a volunteer walk leader. To ensure that these walks are safe, walk leaders
often carry out a pre-walk ‘recce’, for which they may incur out-of-pocket expenses. Although we
would like to be able to reimburse all such expenses, unfortunately we do not have sufficient funds
available to do this. In practice, the vast majority of our walk leaders do not claim any expenses
incurred in carrying out pre-walk recces, and we are very grateful for this.

However, we recognise that some walk leaders, and potential walk leaders, may not be able to pay
their own recce costs, or may need financial assistance. In these cases Capital Walkers are
prepared to meet any such expenses where claimed. We do not expect volunteers to have to
provide evidence of their financial circumstances and, as such, there is an element of trust in the
individual concerned.

Capital Walkers will therefore reimburse up to a maximum of £35 for
travel costs incurred in carrying out a pre-walk recce for a one-day walk. This is limited to one
recce expense claim per route for each leader, unless sufficient time has passed since the last recce
of that route to warrant another recce. We will reimburse up to a maximum of £50 for travel costs
and accommodation expenses for carrying out a recce for a weekend away.

All claims are to be made on the standard Ramblers expenses form and emailed to the treasurer. 
Please include copies of relevant receipts and train tickets.

Payment of reimbursement for day walks will not be made until after the walk has taken place.

Capital Walkers’ Committee will regularly review the effect and cost of this policy and reserves the
right to amend or abolish it at short notice if it cannot be sufficiently funded.
